What is managed IT support, and does your business need it?
Managed IT support means someone else owns your technology end to end. Here is what that includes, who it suits, and how it differs from calling a technician when something breaks.
Most businesses start with break-fix IT. Something stops working, you call someone, they charge you for the hours it took. It feels cheap until you add up the downtime.
Managed IT support inverts that. A provider takes responsibility for your whole environment for a fixed monthly fee, which means they now have a financial reason to stop things breaking rather than to bill you when they do.
What is actually included
- A helpdesk your staff can contact directly, without going through you.
- Monitoring that watches servers, endpoints and network gear around the clock and raises an alert before a disk fills or a backup silently fails.
- Patching and updates applied on a schedule, so you are not running last year's software.
- Security as a standing concern rather than a project: endpoint protection, email filtering, access reviews.
- Documentation of what you own and how it is configured, which matters enormously the day a key person leaves.
- Planning, so hardware and licence renewals are known in advance instead of arriving as emergencies.
Who it suits
Managed IT tends to make sense once you pass roughly ten staff who cannot work without a computer. Below that, ad hoc support is often adequate. Above it, the cost of an hour of downtime across the business usually exceeds the monthly fee.
It suits multi-site operations especially well, because the alternative is either a technician at every site or a lot of driving.
What to ask a provider before signing
- What is the response target, and what happens if you miss it?
- Is monitoring included, or billed separately when it finds something?
- Who owns the documentation and the licences, you or us?
- What is the contract term, and what does leaving involve?
- Will backups be tested, and will we see the test results?
That last one catches people out. An untested backup is a hope, not a recovery plan.
